We will photograph stalls to make sure products sold match description on application form. Please list your products. Fast reply means first dealt with. No stamped addressed envelope will put you at the end of the reply queue. We hope to answer all your reply's in September - please be patient. This is one of the biggest festivals in town and we are only a few staff. Please don't phone the council about this festival. They have nothing to do with the stall organization.
GENERAL CONDITIONS:
We communicate via post office mail. If you were sent an application form last year, you are in the data base and may receive an invitation automatically by mail. If you were in last years festival, Please do not ask questions about stalls, BEFORE we send out application forms. Please inform us only of any changes of data. For additional questions, it is VERY helpful, to enclose your last years stall number with your correspondence. If you have NOT enclosed a self addressed stamped envelope, we'll process them later and you may miss out on your last years spot. If you receive your form WITH A RED STALL NUMBER and a map and your cheque is cashed, you are in. Please stick to selling goods listed on the form. No on selling of space allowed. If you want to use E-Mail: stallorganiser@greylynnparkfestival.org and your STALL NUMBER AS REFERENCE may get you a response, but snail mail is the safe way.
HOW TO APPLY FOR NEW STALLS: E mail may get you a response (include street address, product, picture of stall and product and trade history). Otherwise send a picture of your stall, what you are selling and a stamped addressed envelope to POB 78251, Grey Lynn, Auckland 1245. A street address, not a post office box is required. Limited spaces are available. New to the festival, handmade and local products are preferred. Applications will be sent out August.
PAYMENTS: Payments can only be made by cheque. No cash or Post Office Orders. We are required to charge GST on all stall fees. Craft stall fees incl. GST are: Single stalls (3*3 meters) 125.-. Double stalls (6*3 meters) 300.-. Corner stalls (only 3*3) 180.-. Food stalls are by negotiation (send in photo of stall and product/ price)
RECEIPTS: Your original application form is also your GST receipt. One form/ receipt will be issued per stall and one vehicle will be allowed entry. No duplicate receipts will be issued so please do not lose your receipt otherwise you will lose your place at the Festival. Entry to the Park will be mainly from Dryden Street. Please approach and queue in Tutanekai Street.
VEHICLES & PARKING FOR GENERAL & FOOD STALLS: Only one vehicle per site is allowed into the Festival. We stagger the arrival time, your neighbor comes one hour later, to give you more space to unpack. Please keep the middle of the path free! Parking will be provided within the Festival Grounds and parking areas for your site number will be signposted. Your vehicle needs to be removed from your site once you have unloaded. No movement of vehicles is allowed within the Festival after 9.30am or before 6.30pm. Food stalls will where possible be able to park one supply vehicle behind their site. Please bring all the stock you need as no vehicle movement will be allowed once the Festival has started. The vehicle gate is locked during the day and will not be available for exit until 6.30pm. No vehicles may enter or exit after 9.30am.
INCREASED DEMAND FOR STALLS NATIONWIDE Means that we are restating our priorities towards our community participants. Participation in the Festival is by invitation. We are sorry to turn away applicants but we are now getting applications for stalls from all over the city and all over the country. We have limited space due to irrigation systems for the sports fields and are already accommodating large numbers of stalls. If you are unlucky this year please apply again next year. We are looking at ways to use more of the grounds each year.
EXPECTATIONS ON APPLICANTS Please provide complete details of what you are proposing to sell. The costs of providing the services, performances and activities and are large and the Trust looks to pay for these by selling food and drink and other specific concessions. These people pay a higher rental than the average stalls and we try to make sure that they receive a fair deal in return.
ADVERTISING Stallholders have the right to advertise within their own site. The Festival Trust Board reserves the right to remove any materials that obstruct walkways, interferes with a neighbors site or is in the opinion of the Trust an annoyance to others. Amplifiers, Radios, Alcohol, Party Drugs, Leaflet Handouts, Sandwich Boards and equipment that causes any obstruction or nuisance to your neighbors are not permitted. Signs must be contained within your site.
RUBBISH Any waste generated from your stall is your responsibility to remove. Any rubbish left on site will affect your ability to participate in future festivals.
LEGAL & EQUIPMENT REQUIREMENTS It is the responsibility of each stallholder to ensure they comply with any legal or local government licensing requirements. Council makes us supply our list of food stalls with licenses or collect their day license fee if no license supplied. A Food Handling Certificate is not a license. Fundraisers will be sent a form to return to us for an exemption from the day license fee. Festival organizers cannot supply equipment to run your stall. Tents, power, water requirements are your responsibility.
COMPETITIONS, RAFFLES, ROVING SELLERS, ALCOHOL, PARTY DRUGS Are not permitted.
THEFT DAMAGE OR LOSS The Trust Board accepts no responsibility for any theft damage or loss to any stallholders goods or equipment. Supervision of and insurance on goods and equipment is the responsibility of the stallholder. The actions of employees is also the responsibility of the stallholder.
FEELING REJECTED? We are sorry for disappointment to those who do not get a stall this year. Please remember we are a small organization. There are no rights of participation. We will do our best to help provide sites for as many as we can whilst maintaining a good balance between commercial and community interests.
BEFORE APPLYING PLEASE NOTE THERE IS NO RAIN DATE, IF CIRCUMSTANCE CAUSES CANCELLATION. THERE ARE NO REFUNDS ON STALLS ONCE BOOKED.
